Position includes employee benefits.An employee's hourly rate shall not exceed the wages of current employees with the same years of experience in the District.EMPLOYMENT TERM:10 monthposition - 6:30 a.m. - 3:30 p.m., 8 hours per dayThe job of Receptionist/Secretary is done for the purpose/s of providing a wide variety of responsible technical and clerical support to the Director of Human Resources; communicating information to staff and the public; providing complete and accurate records; assigning substitute staff; and providing information and/or direction as may be requested.This job reports to Director of Human ResourcesExperience Clerical office experience is required.Education: High school diploma or equivalent.Clearances: Employment is contingent upon a Criminal Justice Fingerprint/Background Clearance, paid for by the applicant.Essential FunctionsAnswers incoming telephone calls for the purpose of routing calls to the appropriate individual/department, taking messages and/or answering question/concerns.Oversees electronic management system to assign substitute teachers, substitute educational support staff, substitute secretaries, and other substitute staff in the district for the purpose of ensuring proper staffing of buildings.Greets visitors (e.g. public, parents, substitutes, applicants, vendors, etc.) for the purpose of responding to their inquiries and/or directing them to appropriate personnel in accordance with District policies regarding building security.Maintains inventory of supplies and materials for the purpose of ensuring availability as needed.Maintains a variety of manual and electronic documents, files and records (e.g. periodic reports, new hire reporting, substitute files, W-4 information, I-9 information, emergency contact information, etc.) for the purpose of providing reliable reference and/or meeting state, federal and administrative requirements.Monitors on-line substitute applicant files (e.g. new hire forms, background checks, job applicant certifications, etc.) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.Orients substitute personnel regarding appropriate school and district practices for the purpose of effectively assimilating substitute personnel into site operations.Performs record keeping and general clerical functions (e.g. proofreading, filing, fingerprinting, taking photos and making name badges, copying, faxing, etc.) for the purpose of assisting with departmental operations.Responds to inquiries for the purpose of providing information, facilitating communication among parties and/or providing direction.Supports Director of Human Resources and the Districts Human Resources program for the purpose of communicating with job applicants and/or providing employment related information.Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.Job Requirements: Minimum QualificationsSkills, Knowledge and AbilitiesSKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions.
